A working definition

Business process automation is the practice of replacing manual, repetitive steps in a business process — approvals, notifications, data entry, file routing — with a defined, automated workflow. Instead of a request moving through email and depending on someone remembering the next step, the system enforces the process: who needs to approve it, what happens if they don't respond in time, and where the record ends up.

It is distinct from simply digitizing a form. A digital form that still gets emailed around and manually tracked has not been automated — the process still depends on a person managing every handoff.

Business process automation vs. AI automation

These two terms get used interchangeably, but they solve different problems. Business process automation is typically rules-based: if a request meets certain conditions, route it to a defined approver and send a notification. It does not require artificial intelligence — it requires clear rules and a system that enforces them consistently.

AI automation becomes relevant when a step in the process requires judgment on unstructured information — reading a contract, classifying a support ticket, extracting data from a scanned form. Many real-world workflows combine both: a rules-based workflow engine handling routing and approvals, with an AI step handling the parts that require interpreting messy input.

Which processes are worth automating first

The strongest early candidates share three traits: they happen frequently, they follow a definable set of rules (even with some exceptions), and delays or errors in the current process have a real, visible cost. Approval chains that live in email, recurring data entry between systems, and status tracking that currently depends on someone checking multiple places are common starting points.

Processes that are highly variable, judgment-heavy, and low-frequency are usually poor first candidates — the effort to automate them exceeds the time they currently cost.
